The challenge
St. John's Higher Secondary School in Barama, Assam serves approximately 2,000 students — and until recently, nearly every administrative process ran through manual counters and registers. Fee collection meant long queues and hours of daily reconciliation, marksheets were compiled by hand for every Assam board exam cycle, and library, canteen, and transport operations each lived in their own silo.
Administrators lacked a consolidated, real-time picture of the institution: attendance, dues, academic performance, and student risk indicators were scattered across departments, making early intervention nearly impossible.
What we built
The school adopted the full Academica ERP suite, digitising every core function of the campus on a single platform. Fee collection moved online across multiple payment channels — at zero convenience fee to parents — with automated invoicing and gateway reconciliation that requires no manual intervention.
Beyond fees, the deployment covered the complete academic and operational lifecycle: biometric attendance automation, exam hall management, library automation, GPS-integrated bus tracking, and computer-based test (CBT) practice for students. A parent mobile app puts fees, attendance, results, and alerts in every family's pocket — and includes an integrated e-commerce module through which parents book canteen food and order stationery items directly.
An advanced Early Warning System continuously monitors attendance, academic, and fee signals to flag at-risk students before problems escalate, giving administrators and teachers the lead time to intervene.

The results
Today, 70% of all fees are collected automatically through the payment gateway — with auto-invoicing and no manual intervention — saving the fee counter 72 hours of work every week. Marksheet publication moved fully online via the portal with Assam board–compliant formats, saving a full week of compilation effort every exam cycle.
Parents track buses live over GPS, book canteen meals and stationery from the app, and receive attendance and fee alerts in real time. The Early Warning System surfaces at-risk students early, and administrators finally operate with a clear, consolidated picture of the entire institution — from a single dashboard.
