The challenge
Oxygen Gym (O2) — The Muscle Factory in Burdwan tracked its members with a card file and a front-desk register. Expired members kept training, renewals depended on staff remembering to ask, and peak-hour queues meant the desk waved everyone through.
Ownership estimated the leakage at roughly ₹50,000 a month — but had no data to prove it, which was itself the problem.
What we built
GYMBIM went in as a single system in 2017 — and has run the gym ever since: facial biometric gates at entry, end-to-end subscription management, billing with UPI auto-renewal, and a member app for bookings, payments, and workout plans.
New members no longer start at the front desk. Self-registration and online admission happen from their own phone, and from that moment every plan, payment, and visit lives in one system. The gates enforce what the billing system knows — an expired membership simply doesn't open the turnstile, and the app offers one-tap renewal on the spot.

The results
Revenue leakage stopped the day the gates went live. Renewals shifted to the app — members recharge from their own mobile, and WhatsApp reminders land before a plan expires, so most renewals now happen without anyone at the desk asking. Paper slips are gone entirely: zero slips, zero disputes over who paid what.
Ownership now runs the gym on deep insights instead of gut feel — live dashboards for gym attendance, revenue collection, and member retention, which has grown steadily since the system went in. Front-desk staff moved from policing entries to selling upgrades.
The project cost was recovered in 4 weeks from recovered renewals alone — before counting staff time saved. Nearly a decade later, the gym has automated most of its repeat tasks with the software and still runs day-to-day on GYMBIM.
